Apart from wedding insurance, one of the last things a couple in love wants to deal with is paperwork, fine print and signing on the dotted line. But contract details can either salvage or destroy your big day if the unexpected happens.

Gayle Garmaz, a consultant for wedding planners Exquisite Weddings, says that when sourcing suppliers for your wedding, you shouldn’t adopt a casual attitude. You don’t have a good business arrangement if it’s just the shake of a hand or a brochure with the prices. ‘Couples are vulnerable,’ she says. ‘It’s a very emotional time. And if you look at the dollars that are being spent, it’s significant.’

Just imagine showing up for your wedding only to find that your venue has been double booked and another couple is midway through their ceremony, or your limo never shows up!

Both suppliers and clients can be put in an awkward position if things aren’t clearly understood. Although contracts are usually written by the supplier, they can be amended to accommodate any special concerns you might have, including clauses for no-shows and non-replacement.

The average size wedding in New Zealand today consists of 80-100 guests. When you’re planning for food, alcohol and staffing, be sure of exactly what you’re buying. One of the first things to clarify is whether the prices are inclusive of GST. This is particularly important with regards to the venue, which is where the most money is spent – for example, an added 12.5% on top of $20,000 is $2,500.

If you sign a contract with a venue, they may have a different wine price list or wine supplier and you need to know if they have a clause in their contract stating this. Another detail to pay particular attention to is what time the venue becomes yours and how long you have it for. Exactly when does the clock start ticking in terms of the hours you are paying for? Is it when the guests start to arrive, or when you start setting up?

Many venues have a six-hour free and anything longer than that is charged by the hours plus GST. For example, if your guests party on for 10-12 hours, the price of your venue hire could double.

Another contact that may confuse some couples is the one they sign with their photographer. Unless it is signed over to the couple, which is extremely rare, the photographer retains the copyright to all their photos. Most photographers only sell you prints and will not give you their negatives or a digital copy of their work. Photo contracts generally cover the photographer’s time, production of the images and your album. Any other prints or online photos must be ordered through the photographer.

While each supplier has different details to look out for, there are similarities and it pays to ask questions. For example, when it comes to your flowers, floral contracts should stipulate exactly what you’re purchasing. Even the vases or stands used to display the flowers should be covered in the contract. The contract should also say who is responsible if the vases are damaged or lost.

Pre-nuptial agreements

But there are ways to protect yourself against a change of heart further down the road. Once only used by the rich and famous, today a relationship property agreement or a pre-nuptial agreement is simply another contract for the bride and groom to agree on and sign.

Alison Renfrew, director of Lyford Asset Management Financial Planners, believes that as soon as you think you’re in a relationship that’s going to last, you should see a lawyer and have a relationship property agreement drawn up, even though it may be a bit scary to say, ‘Look, I love you very much, but let’s get this sorted.’

If the situation is treated with mutual respect and equality, both parties should be satisfied. Under the current law, a divorce could see the woman take 70% of the couple’s matrimonial property and if there isn’t an agreement it’s likely that it will go in the favour of the woman.

Obviously not all women have the same goal in mind, but with a high proportion of marriages ending in divorce, it’s helpful to have things clearly set out from the beginning. Better to discuss and agree on assets while the atmosphere is amicable, than from across the courtroom.

It’s when you don’t communicate and have differing expectations that you wind up in entrenched legal battles and not speaking to each other. ‘If you’re getting serious, it’s best to get the serious stuff out of the way,’ Alison says. ‘Treat the agreement as just a legal formality that everyone who’s getting married has to go through.’

Family trust

Particularly for older couples and those with children, it’s also a good time to investigate how your assets are set up. You could benefit from the formation of a family trust. ‘It’s important to have layers of protections,’ says Alison. ‘A family trust is a layer. A relationship property agreement is another layer.’ Consider all assets that might be targeted – you income, saving, pensions, superannuation plans.

‘The key for most people is to make sure they’re worth nothing,’ Alison says. ‘Give appropriate ownership to your possessions through a trust.’ This will require a specialist lawyer.

Often the only lawyer young couples know is the one they might have used to buy a house. But in order to document your expectations so that it will stand up in court, you should meet with an experienced lawyer who specialises in relationship property agreements to have a proper agreement drawn up.

Besides, the reception is also the perfect time for the guests to take some pictures with the newlyweds, who may be hopping from table to table, or performing their wedding dance.  There is a proper sequence on who gets to dance first in weddings.  The sequence may be altered by the bride and groom, though.

Traditionally, the first couple who will take on the dance floor is obviously the bride and groom.  A parent will then be partnered with one of the couple – the bride will dance with her dad and the groom will dance with his mom.  Bride and groom will then change partners as the bride will have dance with her father-in-law and the groom will dance with his mother-in-law.  These changes of partners are symbolic of each other’s families welcoming their new members.

Stepparents of either the groom or bride, if they have one, should also take part in their tradition.  After the parents exchange partners, the bride may dance with the groom’s best man while the groom dances with the bridesmaid.  The rest of the entourage may now join in.  After that, the dance floor is open to the other guests.

Aside from knowing the correct sequence of dances during the reception, another matter for the couple to take on would be where to get the dance floor rental.  Dance floors can be rented, and are available in different sizes, textures, shapes and even color.  In big cities, there are shops that specifically rent out dance floors.

However, in smaller and more isolated areas, this may not be the case.  A couple who decides to have their reception on a far-off location may opt to hire someone to build a makeshift dance floor on the venue or hire a big city company to ship their merchandize wherever their reception will be, incurring additional costs.  If you are having a church wedding then church wedding decoration photos are one of the best ways to get your ideas for decorations.
